HubSpot meeting link not working? Fix missing availability and bookings that don't show up

Why a HubSpot meetings link shows no available times or loses bookings, and how to find the setting that's blocking it.

When a HubSpot meetings link shows no available times, something in your calendar or the page settings is blocking every slot. Events marked Busy, working hours, and notice or buffer settings can leave nothing open. Check the calendar connection too. If it dropped, for example after a password change, the page goes into offline mode, where visitors can only request a time and the booking isn't added to your calendar.

HubSpot has a tool for this. Go to Sales, then Meetings Scheduler, hover over the link, click Edit, then click Troubleshoot in the top right. Your scheduling page opens in a new tab with every blocked slot labelled with the reason it's unavailable (troubleshooting mode). If you use more than one HubSpot account, log in to the one that owns the page first.

Why the scheduling page shows no available times

The calendar is disconnected

You can build a scheduling page without a calendar. To show real availability and take bookings automatically, it needs one (connect your calendar). Without it the page runs in offline mode and may show out-of-date availability. A changed email password disconnects your calendars along with your inbox, and so does removing HubSpot's access in your Google account. Check the Calendar tab in your General settings for a green Connected status, and see inbox or calendar disconnected if it isn't there.

Calendar events are blocking the time

Events marked Busy block the slot, and in Outlook so do Working elsewhere, Tentative and Out of Office. An all-day event such as a conference blocks the day unless you set it to Free. Busy events on any extra calendar you added under Availability Calendars block your page as well. If you lose access to one of those added calendars, nobody can book you at all, even when your main calendar is fine, and HubSpot emails you about the attempt instead (calendar settings).

The page settings leave no room

In the page's Scheduling section, check the time zone, availability window and duration, then open Advanced settings for minimum notice, buffer time, start time increment and When a meeting can be scheduled. Each one narrows the slots, and together they can leave none. If Consider working hours is on, the user's working hours from their HubSpot profile apply too. HubSpot ignores the working hours you set inside Google Calendar.

A team page can't find a slot

Group pages only show times when every member is free, so one full calendar empties the page. Round robin pages show any time when one member is free. With Prioritize contact owner on, a known contact whose owner is on the page sees only that owner's times, and none at all if the owner is busy (team availability). Team members need a Sales or Service seat, a connected calendar and the meetings tool activated. If every member is deactivated or loses their seat, the link is deactivated, and HubSpot says a team page with no active members is deleted. Group and round robin pages need Sales Hub or Service Hub Starter, Professional or Enterprise, as of October 2026 (scheduling page requirements).

The scheduling pages are turned off

Each user can switch off all of their own scheduling pages from the Calendar tab. Their links then show an error. Click Turn on in the Scheduling pages section to bring them back.

Why a booked meeting is missing from the calendar or record

It was booked while the calendar was disconnected

In offline mode a visitor's booking is only a request, so nothing lands on your calendar. HubSpot may not recover or resend those bookings after you reconnect, which means the visitor may have to rebook or you send the invite yourself (sharing scheduling pages). On round robin pages, a member whose calendar is disconnected counts as always available, and a meeting that lands on them is only requested.

You're looking at the wrong calendar

Booked meetings go on your personal default calendar only, never on the extra calendars added for availability. Meetings you create on a CRM record become calendar invites only when Calendar Sync is ticked on the Calendar tab. Exchange calendars have no two-way sync, so meetings created from a CRM record aren't added to Exchange.

It's on a different contact record

When a visitor books with an email HubSpot hasn't seen, the booking form creates a new contact, even if their browser is already tied to an existing one. Someone who books with a personal address ends up as a second record with the meeting on it. Search for the email from the booking alert. If that contact had no owner, the meeting organizer becomes the owner. The duplicate contacts article covers merging the pair.

It was created in Google or Outlook

Meetings you create directly in your calendar reach HubSpot through calendar sync, which has stricter rules. A meeting only logs to guests who already exist as contacts with the same email, and HubSpot won't create contacts for new guests. Events from before you connected, private events and attendees from your own company's domains aren't synced. The never log list also applies to these meetings, though it doesn't apply to scheduling page bookings (calendar sync).

  1. Run Troubleshoot on the scheduling page and read the reason on a few blocked slots.
  2. On the Calendar tab, confirm the green Connected status. Reconnect if needed, and remove any inactive availability calendar with the X next to it.
  3. Change the status of events that shouldn't block you, such as all-day events, to Free.
  4. Widen the availability window, notice, buffer or scheduling range, and check the user's working hours if Consider working hours is on.
  5. For team pages, confirm every member has a Sales or Service seat, a connected calendar and the meetings tool activated, and decide whether Prioritize contact owner should stay on.
  6. Open the link in a private browser window to rule out a browser or session problem.
  7. Contact anyone who booked while the calendar was disconnected and send them an invite.

How to stop it happening again

Reconnect your calendar the same day you change an email password. After any change to a page's settings, open Troubleshoot again and check that the week still has open slots. When someone leaves the team, update the group and round robin pages they were on.

Questions

Do I need a paid seat to use a meetings link?

Not on HubSpot's free tools, where each user can create one one-on-one scheduling page with HubSpot branding. On a paid subscription, a Core seat gives that same single page, and more pages and team pages need a Sales or Service seat. View-Only users can't create any.

Why are times showing in the wrong time zone?

Your availability is based on the time zone set on the page, and visitors see the times in their own time zone. They can switch it with the time zone dropdown on the booking page.

Why didn't the contact get a reminder email?

Reminders only go out if the Pre-meeting reminder switch is on for the page and your calendar is connected, and only to contacts who were on the invite at the time of booking. Anyone added to the meeting later won't receive them.
