Facebook or LinkedIn lead ads not syncing to HubSpot? Check these first

Why Facebook and LinkedIn lead ads stop syncing new leads into HubSpot, and the checks that get them flowing again.

When Facebook or LinkedIn lead ads stop syncing to HubSpot, start with access. For Facebook, the person who connected the ad account needs admin rights on both the ad account and the page, plus Leads Access, and the page itself has to be switched on for lead syncing in HubSpot. For LinkedIn, the connecting user needs to be an Account Manager in the LinkedIn Ads account and also needs a role on the LinkedIn Page, because an ad account role alone doesn't give page permissions.

Before you change settings, give it time. HubSpot says new leads can take up to two hours to sync, as of October 2026, per its lead sync guide. Then search your contacts by the lead's email address. A synced lead has a lead ad form submission on its record. Sometimes the lead is there and the ads dashboard's report is hiding it.

Why lead ads don't sync to HubSpot

The Facebook page isn't switched on for lead syncing

Connecting a Facebook ad account doesn't connect its pages. Each page has to be ticked on the Lead syncing tab of your Ads settings (Settings, Marketing, Ads). The lead form also has to be created in the connected Meta account and run under that same page. If an ad is set up under a different page, its leads won't come through. In Ads Manager, edit the ad and look at the Conversion section to see which page it uses. HubSpot's lead sync articles don't mention Instagram, so this guide only covers Facebook pages.

Facebook permissions or Business Manager setup

HubSpot's Facebook lead sync troubleshooting article lists the requirements. The connected Facebook user is an admin of the page and the ad account, and both belong to the same Business Manager. That user has Leads Access for the page. If someone turned on Leads Access manager in Business Settings, the user must be listed there by name. The HubSpot user who connected the account has the Ads Publish permission. All the permissions for the HubSpot Ads integration are still switched on in Facebook. And in the page's CRM setup, HubSpot is selected as the connected CRM.

If the page was connected before the user had Leads Access, new leads sync once access is granted. Older leads only come in after you disconnect and reconnect the page.

The LinkedIn user's page role, or the new Lead Sync API

HubSpot requires the user who connects a LinkedIn Ads account to be an Account Manager in that ad account. For lead syncing, the same user must also be a Super admin, Content admin or Lead Gen Forms manager on the LinkedIn Page. Ad account roles such as Account Manager or Campaign Manager don't give page permissions. LinkedIn explains each role in its Page admin roles article.

Check for a banner in the ads tool asking you to authorize the new LinkedIn API for lead syncing. HubSpot says accounts that weren't updated kept syncing only until July 31, 2025. On the Lead syncing tab, click Authorize lead sync next to the account if it's there. Also make sure each LinkedIn Lead Gen Form includes the Email field and marks it required, so HubSpot can create the contact.

The ad account was disabled, put on hold or disconnected

A disabled Facebook ad account, or a LinkedIn Ads account on hold, is disconnected from HubSpot, and an error shows next to it. If someone changes HubSpot's app permissions in LinkedIn, the ads tool can stop working until you reconnect. Disconnecting from the Facebook side removes every connection that Facebook user has, including ad accounts that were never connected to HubSpot.

A field mapping error

If HubSpot finds a problem with a page or form, the ad account status at the top of the ads tool shows the number of issues. Open it, expand Sync errors and click through to the form. In the Field mappings table, hover over the error in the Status column for the reason. Causes HubSpot lists include a question whose type doesn't match the HubSpot property and a custom field longer than 255 characters. A question with no English characters is a separate limit. It doesn't sync at all. On LinkedIn, custom questions have to use the Single line input answer type. HubSpot's field mapping article lists the defaults for each network. Mapping changes apply only to leads that sync afterwards.

The sync timeframe or the report is hiding leads

If a page was connected with the option to sync new leads only, nothing from before that date comes in. The other option pulls in leads from the last 90 days as well. The ads dashboard can also hide leads that did sync. The First ad interaction and First form submission reports only show contacts the lead form created, so an existing contact who fills it in won't appear. On Marketing Hub Professional or Enterprise, switch to the All ad interactions or All form submissions report. On Starter or Free, build a segment with the Ads interactions filter.

How to fix lead ad syncing

  1. Wait two hours after a test lead, then search contacts by its email address.
  2. Open the ad account status in the ads tool and work through any sync errors listed.
  3. On the Lead syncing tab, check that every page and LinkedIn account you advertise from is listed and ticked. Use Connect to add any that are missing.
  4. Go through the Facebook or LinkedIn access checks above with the person who connected the account.
  5. Fix field mapping errors with Edit mapping, or change the question type in the ad platform.
  6. To bring in older leads you missed, disconnect the page on the Lead syncing tab and connect it again with the option that includes recent leads.
  7. Send a test lead with Facebook's lead ads testing tool. In HubSpot, test leads show Facebook organic lead in Original Traffic Source drill-down 2.

How to stop it happening again

HubSpot connects through the person who authorized it, so use someone who will keep admin rights, and recheck the sync when their role changes. Tick each new page on the Lead syncing tab when it's created. If you ever need to disconnect, do it in HubSpot. Decide whether synced leads should be marketing contacts and set the switch in the sync settings, since that affects your bill (see contacts set as marketing). For follow-up workflows, HubSpot's Facebook lead ads FAQ says to select the specific synced lead ad form as the form submission trigger, rather than the ad or ad set.

If leads still go missing after these checks, I can audit your ad connections and lead routing and fix them.

Questions

How long do lead ads take to sync to HubSpot?

Up to two hours for a new lead. New Facebook instant forms can take several hours to appear in HubSpot.

Why can't I find my lead ad forms in the HubSpot forms tool?

HubSpot creates its own copies of synced lead ad forms, and they don't show in the forms tool. You can still use them as filters in segments and as workflow triggers.

Do I need a paid HubSpot plan to sync lead ads?

No. Lead syncing is available on all plans. The All ad interactions report that shows every synced lead needs Marketing Hub Professional or Enterprise.
