Not receiving HubSpot form submission notifications

Why HubSpot form notification emails stop arriving, and the checks that get them back, from recipients to mail filters.

When HubSpot form notifications stop arriving, the form is usually sending them to someone else, or to nobody. A common setup is a form that only notifies the contact owner. New leads often have no owner yet, and HubSpot sends no notification for a contact without one. The other frequent cause is your own mail system filing the email somewhere you don't look.

Check the form first. Open it in the form editor, click the settings icon and look at the Real-time submission notifications section on the Submission settings tab. Then search every folder of your mailbox, including spam and quarantine, for noreply@notifications.hubspot.com, the address HubSpot sends form notifications from.

Why form notifications don't arrive

The recipients aren't who you think

The updated form editor has two options. "Notify contact owner" emails whoever owns the contact, and "Add users to notify" emails the users or teams you pick, regardless of who owns the contact. On legacy forms the same choices sit on the Options tab, with a "Send submission notifications to" dropdown. If only the owner option is on, every unowned lead goes unannounced. Getting owners set is covered in contact owner not assigned.

Also look at the top right of the editor. If it says "Saved with unpublished changes", your new recipients aren't live yet. Click Review and update to publish them.

The page overrides the form's recipients

On HubSpot website and landing pages, the form module has its own checkbox to send notifications to specified email addresses in place of the form defaults. When it's ticked, the people chosen on the page replace the form's recipients for that page only. The same form can then notify you from one page and stay silent on another. Open the page in the editor, select the form module and check the left panel.

The recipient isn't an active user

HubSpot says notification recipients have to be active users in your account. Someone with a pending invite, or who never finished setting up their login, can't receive form notifications. Go to Users & Teams in your settings and check each recipient's status and the Email column. A user saved with an old or mistyped address gets notifications in an inbox nobody reads.

Your own notification settings are off

Each user controls their own notifications under Notifications in their settings. Find the Form submissions topic and make sure it's on, and check that email is switched on under Set channel defaults. Clicking unsubscribe in a notification email turns that notification type off, so check this even if you never changed your settings on purpose. Changes can take a few minutes to apply, and the Form submissions topic only appears for users with access to the forms tool. In Enterprise accounts, Super Admins can set default notification profiles, but each user's own settings take precedence. The details are in HubSpot's user notifications guide.

Your mail system is filtering it

Check spam and junk, your mailbox rules, and in Outlook the quarantine and the Other tab. If your company filters mail centrally, ask IT to look at their quarantine and filtering logs and allowlist HubSpot. HubSpot's notification troubleshooting article has a downloadable list of its sending domains and IP addresses, and IT should add the ones in the Collective section plus those for your account's data center. If an earlier HubSpot email to your address bounced, HubSpot drops later emails to it. A Super Admin can see whether a user's address has bounced and remove the bounce.

A shared inbox got unsubscribed

If notifications go to a distribution list, such as a shared sales address, one member clicking unsubscribe in a form notification unsubscribes the whole list. A member has to resubscribe from a past notification email to start them again.

The submission didn't qualify, or it isn't a HubSpot form

HubSpot says a submission only generates a notification when the visitor filled in the default Email field and has HubSpot tracking cookies. Find the submission in the form's submissions, and look at the Spam tab too, since HubSpot keeps blocked submissions apart from normal ones until you release them. Forms on your own site that HubSpot collects as non-HubSpot forms use different settings. Their recipients are set on the Non-HubSpot Forms tab of your form settings, or per form through Actions and Edit email notifications, as described in HubSpot's non-HubSpot forms guide.

How to get form notifications working again

  1. Submit a test from a private browser window, with a new email address in the default Email field.
  2. Open the form's settings and add named users or a team under "Add users to notify", alongside the contact owner option if you want both. Click Review and update.
  3. Check the form module on each HubSpot page that uses the form for a page-level override.
  4. In Users & Teams, confirm every recipient is an active user and their email address is right.
  5. Ask each recipient to check the Form submissions topic and the email channel in their notification settings.
  6. Search all mail folders for noreply@notifications.hubspot.com. If it's being filtered, have IT allowlist HubSpot, and ask a Super Admin to check the address for a bounce.
  7. For a distribution list, resubscribe from an old notification email.

How to stop it happening again

Name at least one user or team on every form as well as the contact owner, so unowned leads still reach someone. Update recipients when people leave or change roles, before you deactivate their user. If you need alerts that depend on the answers, such as a different person for each region, use a workflow that branches on the form fields and notifies the right person. As of October 2026, HubSpot's notification guide says custom notifications like this need a workflow, and workflows need a Professional or Enterprise subscription. The form automations in the form editor also include an internal email notification action, and how many actions you get there depends on your plan.

If notifications are one of several things that don't add up in your portal, I can audit and fix it.

Questions

Can people who aren't HubSpot users get form notifications?

HubSpot's notification guide describes choosing users and teams as recipients and says recipients must be active users. If a shared address needs the alerts, keep the distribution list problem above in mind.

Why do I get notifications for some submissions but not others?

Usually the form only notifies the contact owner, and the missing alerts came from contacts without an owner. The other common reason is a submission without the default Email field filled in, or without tracking cookies.

Which address do HubSpot form notifications come from?

They come from noreply@notifications.hubspot.com. Add it to your safe senders, and ask IT to allowlist HubSpot if your company filters mail centrally.
