HubSpot closed won revenue looks wrong? Check these five things

Why HubSpot won revenue drops or jumps, from stages not set to Won to close dates, amounts and report filters, and how to fix each.

When a HubSpot closed won report shows less revenue than your finance team expects, start with the pipeline settings. HubSpot treats a deal as closed won only while it sits in a stage whose deal probability is set to Won. If your pipeline has stages after the sale, such as Invoiced, Onboarding or Job completed, and those stages carry a percentage, deals drop out of won revenue the moment someone moves them forward.

The first thing to check is the Deal probability on every stage of every deal pipeline. Then pick one deal you know is missing from the report and compare its pipeline, stage, close date and amount with the report's filters. A handful of missing deals is usually enough to show the pattern.

Why closed won revenue comes out wrong

Stages after the sale aren't set to Won

Each stage in a pipeline has its own Deal probability. The default pipeline ends with Closed won (Won) and Closed lost (Lost), and HubSpot says a pipeline needs both a Won and a Lost stage for sales reports and analytics to process deals correctly. See HubSpot's pipeline settings guide.

To check, open your deal pipeline settings (Settings, then Objects, then Deals, then the Pipelines tab) and read the probability next to each stage. Any stage that means the customer has committed should be set to Won. Changing it needs the Edit property settings permission. To confirm the effect on a single deal, add the Is Closed Won property to a deals view. HubSpot sets it to true only when the deal is in a closed won state.

The close date moved

By default, HubSpot sets Close date to today when a deal moves into a closed stage. A rep who marks a deal won three weeks after the customer signed puts that revenue in this month, and a deal that was reopened and closed again gets a new date. Moving a deal from a closed stage back to an open one keeps the old date unless someone has turned on the option to clear it.

Both settings are toggles on the Automate tab of each pipeline, covered in HubSpot's guide to close date automation. On the deal, open the property history for Close date to see each change, its date and its source. To trace a change back to a workflow or an integration, see how to find what changed a property.

The amount isn't the number you think

Amount is stored in the deal's own currency. If your account uses more than one currency, revenue reports should sum Amount in company currency, which HubSpot converts at the exchange rate in effect on a closed deal's close date. Custom currency properties don't apply exchange rates, and HubSpot advises against using them in reports.

Line items are the other common cause. The Default deal amount setting decides whether Amount follows the line items (total contract value, annual contract value, ARR or MRR) or stays as typed (Manual entry). Changing the setting doesn't update existing deals. Line items imported or updated through the API don't update the deal amount either, so an integration that writes line items can leave Amount out of date. The options are in HubSpot's deal defaults.

The report uses a different date, pipeline or set of users

HubSpot's report troubleshooting tips start with the date property and range. A won revenue report filtered by Create date counts deals created in the period, whatever month they closed. Check the pipeline filter as well, since a second pipeline for renewals or partners is easy to leave out. Some sales analytics reports have their own date logic. The deal pipeline waterfall, for example, uses the date a deal moved into a won or lost stage.

Permissions matter too. A user whose deal access is limited to their own records sees only those deals in reports, so two people can open the same dashboard and see different totals. More report checks are in why HubSpot report numbers don't match.

Weighted or forecast amounts got mixed in

Weighted amount is Amount multiplied by Deal probability. If someone edits Deal probability by hand, HubSpot stops updating it from the stage until the deal reaches Closed won or Closed lost. Forecast amount uses a separate forecast probability. A dashboard that sums either one next to won revenue won't match it.

How to fix won revenue in HubSpot

  1. List every deal pipeline and its stages. Agree with sales and finance which stages mean the deal is won.
  2. Set each of those stages to Won in the pipeline settings. HubSpot keeps the existing close date when a stage's probability changes, so the deals come back into won revenue with the close date they already have.
  3. On the Automate tab, decide whether closing a deal should reset Close date to today, and whether reopening one should clear it.
  4. Build a deals table view with Is Closed Won set to true and Close date in the period you're checking. Add columns for Amount, Amount in company currency, Pipeline and Deal owner.
  5. Compare that total with the report. For each deal that differs, check its close date history and whether Amount matches its line items.
  6. Edit the report so it filters on Close date, includes the right pipelines and sums the right amount property.
  7. Ask a colleague with full deal access to open the report, to rule out permissions.

How to stop it happening again

Write down which stages count as won and keep that note with the pipeline. When someone adds a stage, set its probability on purpose. Pick one amount property for revenue and use it in every report. A quarterly check against a closed won deals view catches problems early, and the HubSpot audit checklist covers pipelines and reports in the same pass.

From client work

At Phoenix Industrial Cleaning, deals moved through job stages after the sale, and won revenue dropped as the jobs progressed. The later job stages weren't marked as won. I corrected the won and lost stage rules, which put 57 deals back into won revenue.

For Sauna Heater Supply, duplicate quotes go to a Superseded stage and aren't counted as lost. Abandoned checkout deals with no order after 21 days move to their own expired stage, kept apart from Closed Lost so the close rate stays honest.

If the numbers still don't match after these checks, I can audit your pipelines and reports and fix them.

Questions

Why did my deal's close date change to today?

The deal moved into a closed stage while the pipeline's close date automation was on, which is the default. You can turn it off per pipeline on the Automate tab.

Does changing a stage to Won rewrite old close dates?

No. HubSpot keeps the existing close date when a stage's probability changes between an open percentage and Won or Lost. Changes to the close date toggles also apply only going forward.

Why is the weighted amount wrong on one deal?

Someone probably edited Deal probability by hand. HubSpot stops updating it from the stage until the deal moves to Closed won or Closed lost.
