Every property value in HubSpot keeps a history, and each change in that history has a source. When a field keeps changing back, open the record's property history and read the Source column. It tells you whether the change came from a workflow, a connected app, an import, a form, a person editing the record, or one of HubSpot's own processes.
On the record, hover over the property in the left sidebar and click the property history icon. To see every property at once, click Actions at the top of the sidebar and choose View property history, then filter by property, source or date. This works on every HubSpot plan (property history). Once you know the type of source, you can narrow it down to the workflow, app, file or person.
What the source tells you, and where to look next
HubSpot publishes the full list of change sources. Here is what the common ones mean.
Workflow
A workflow action set the value. To find which one, filter the workflows list by Action type and look at workflows that use Edit record, or Rotate record to owner if the field is an owner. Open each candidate and check the Connections tab, which lists the properties the workflow uses. Then open its action logs, click Choose a trigger source, pick the record and look for an action at the time of the change. Property history shows times in your computer's time zone and action logs use the account's default time zone, so convert before you compare.
Integration, Data Integration or Ecommerce Integration
A connected app wrote the value. In settings, go to Integrations, then Connected Apps. The Connections insights tab has Record Insights, which counts records created, updated, deleted and merged by each app per day over the last 30 days, so you can see which app is busy on that object. For apps that use HubSpot data sync, check the field mappings, the sync direction and which side wins a conflict. Customizing those mappings needs Data Hub Starter or above (data sync field mappings).
Import
Someone imported a file that included this property. The Restore CRM changes tool, covered below, lets you pick an import by name and preview what it changed. If imports keep causing trouble, HubSpot import errors covers the common mistakes.
CRM UI, CRM Bulk Action, mobile apps or Sales Extension
A person made the change. For CRM UI, the source shows the user's name and email. CRM Bulk Action means a bulk action, such as editing many records at once. Mobile iOS, Mobile Android and Sales Extension point to the HubSpot mobile apps and the Sales extension.
Forms
A form submission set the value. Check which of your forms include that property, since every one of them can write to it.
HubSpot's own processes
HubSpot Calculation means the value was worked out from another property, an associated record or a settings change. CRM Setting points to an account setting, such as creating and associating companies with contacts automatically. Property Default Value is the property's default, Scoring is a score property's criteria, and Data Quality is the duplicate management tool. HubSpot AI, Customer Agent and Custom Agent are HubSpot's AI features, and a custom agent shows its name and who created it.
How to track it down
- Open one affected record, view property history and filter to the property. Note the source and time of each unwanted change.
- Check whether the pattern holds across records. In settings, go to Properties, pick the object, hover over the property, click More and choose Export property history. Tick Include Source Information. The file arrives by email and in your notifications, with dates in UTC (export property history).
- Follow the source. For a workflow, match the time against the action logs. For an app, check Record Insights and the app's mappings. For an import, find it by name in the restore tool.
- Stop it at the source. Edit or turn off the workflow action, change the sync mapping, or fix the import file. If you restore values first, the same source can overwrite them again.
- Put the right values back. For changes in the last 14 days, a Super Admin can use Restore CRM changes under Backup & Restore in settings, choose Workflow, Import, Integration or CRM changes as the source, and review a preview before anything changes. On one record, hover over a row in property history and click Restore, which works for CRM UI, import and workflow changes. For older changes, open the export, copy the Record ID and the value from before the bad change into a new file, and import it.
Restore CRM changes is available on Starter, Professional and Enterprise for Marketing, Sales, Service, Data and Content Hub, and on Professional or Enterprise for Smart CRM, as of October 2026 (restore CRM changes).
How to stop it happening again
Pick one tool to own each important property and write it down. When two automations write to the same field, the value flips between them. For fields that matter, add a small watch workflow that uses the Property value changed event trigger for that property and sends an internal notification, so you hear about a change the day it happens. Put a description on every workflow that edits records, and check the field mappings before you connect a new app.
From client work
At Conference Badge, marketing contacts had reached 9,159 on a 7,000 tier because a welcome workflow marked every app signup as marketing. I fixed the workflow and scheduled more than 7,800 signups to non-marketing. Read the Conference Badge case study. If marketing contact status is your problem field, see contacts set as marketing.
At Phoenix Industrial Cleaning, the ServiceTrade integration matched jobs to deals on a shared location ID, which swept unrelated deals into the wrong stage. I rebuilt the match on the ServiceTrade service request ID. Read the Phoenix case study.
At Mission Mobile Medical, active client records were going missing. I traced it to an inactivity workflow that was deleting them, stopped it and restored the records. Read the Mission Mobile Medical case study.
If you'd rather have someone go through your portal with you, I can audit and fix it.
Questions
Does property history show who made a manual change?
Yes. Changes a person makes in the CRM show the user's name and email in the Source column.
How many past values does HubSpot keep?
Up to 45 revisions for each contact property, and 20 for company, deal, ticket and custom object properties.
Can I undo a bad workflow update in bulk?
Within 14 days, use Restore CRM changes with Workflow as the source. After that, export the property history and import the old values back.
Why don't the times in the export match the record?
The export uses UTC, while property history on the record follows your computer's time zone.
Did this fix it?
Good to hear. If something else in the portal looks off, the help centre has more fixes.
