When a property exists in HubSpot but doesn't appear on a record, check first whether it has simply been left off the card. The left sidebar shows a set list of properties, and each user can change that list for their own view. Open the record, click Actions at the top of the left sidebar and choose View all properties, then search for it. If it's there, the property is fine and the record page isn't set to show it.
If it isn't in that list either, it may belong to another object, it may have been archived, or a rule or permission may be hiding it from you. If you can see it but can't change the value, look at read-only properties and edit permissions. Each case is covered below.
Why a property doesn't show on the record
It isn't on the card
The Key information or About this [record] card shows the account default properties plus any changes you made, and your changes only apply to your view. To add a property, open the card's Actions menu, choose Customize properties and add it. A card holds up to 50 properties. If you changed your card before and an admin later adds a property to the default, it lands at the bottom of your list. If you can't change the card at all, an admin has probably turned off the card's User permissions switch.
The record layout differs by team
Admins set the default record layout in object settings, on the Record Customization tab. On Professional and Enterprise they can also build team views, which only main team members of the assigned teams see. Everyone else gets the default view. That's why a colleague on another team can see a card you can't. Cards and tabs can also carry conditional logic that shows them only when a property matches a set value.
It belongs to a different object
A property card on a contact lists contact properties only, so a deal property never appears in a contact's About card. To show deal details on a contact or company, an admin can add a card with its associated object type set to deals. It then shows properties of the associated deals.
It was archived
Archiving removes a property from view without deleting it straight away. Check the Archived tab in property settings for that object. You can restore it from there with the Edit property settings permission, but properties archived 90 or more days ago have been deleted.
Conditional property logic hides it
On Professional and Enterprise, admins can set conditional logic so a dependent property only appears, or becomes required, once another property has a certain value. A property set to appear when Lifecycle stage is Customer won't show on a lead. The rules sit on the Conditional logic tab in property settings. They apply when people create or edit records by hand. Workflows ignore them.
You don't have access to it
On Enterprise, a Super Admin can limit who can view or edit a property, as of October 2026. If you can't view it, you see a restricted access icon where the value should be. You also can't see records in saved views that filter on that property, and reports that use it may not load for you. The Property access column in property settings shows who has access.
Why you can't edit a property
- It's read-only. Properties set by HubSpot analytics or by an integration, such as Original source, can't be edited by hand. Create date is read-only on every object except deals.
- It's a calculation or rollup property. Its value comes from other properties or associated records, so change those instead. See calculated property not updating.
- Edit access is restricted. Hovering over the value shows a message that you don't have permission to edit the field.
- Your record permissions stop you. If your Edit permission for that object covers only your own or your team's records, you can't edit records other people own. Users on a View-Only seat can't edit records at all.
- A pipeline rule locks the stage. On Professional and Enterprise, a Super Admin can limit who can edit deals, tickets, projects and custom object records in chosen stages. Once a record reaches that stage, only the named users and teams, or Super Admins, can change it by hand. Workflows and the API can still update it.
- The value has to be unique. If the property requires unique values and another record already has that value, the change won't save.
How to fix it
- On the record, click Actions in the left sidebar, choose View all properties and search for the property.
- If it's there, add it to your card through Customize properties. To add it for everyone, a user with the Customize record page layout permission or a Super Admin edits the default view or team view on the Record Customization tab.
- If it isn't there, open property settings, pick the right object and search. Then check the Archived tab.
- Check the Conditional logic tab for a rule that controls the property.
- If you see a restricted icon or can't edit the value, compare your permissions and seat with a colleague who can edit it, and ask a Super Admin to change your access.
How to stop it happening again
Put the properties every rep needs on the default view and the team views, so nobody relies on their own card. Turn off User permissions on cards where everyone must see the same fields. Before you archive a property, read the panel HubSpot shows, which lists the workflows and cards that use it. If the same user is also missing whole records, read user can't see records.
If your record pages have grown messy and every team sees something different, I can audit them and set up clean views with you.
Questions
Why can my manager see a property I can't?
Your manager may be on a team with its own record view, have access to a restricted property, or be a Super Admin. Super Admins can view all properties whatever restriction is applied.
How do I add a property to every user's record page?
Edit the default view in object settings, on the Record Customization tab. You need the Customize record page layout permission or Super Admin.
Can I bring back a property I archived?
Yes, from the Archived tab in property settings, as long as it was archived less than 90 days ago.
Why can't I change the Create date?
HubSpot treats Create date as read-only on every object except deals.
