HubSpot calculation or rollup property wrong or not updating? Here's why

Why HubSpot calculation, rollup and formula properties go blank or show the wrong value, and how to fix each cause.

By Abdur Rahim Mostafa, HubSpot consultant · Updated 26 October 2026 · 5 min read

When a HubSpot calculation property shows nothing, or a value that looks stuck, check for an empty input first. In a custom equation with a number output, if any number property in the formula is empty, HubSpot doesn't run the calculation at all and the result stays blank. That happens even when the formula also has a fixed number in it. With a rollup property, check first whether it's reading the associated records you think it is.

Start with one record that shows the wrong value. In settings, open Properties, pick the object and open the property to see its formula or rollup setup. Write down every property it uses, then check those values on the record. For a rollup, check which associated records that record really has, and whether they hold a value in the property being rolled up.

Calculation and rollup properties need a Professional or Enterprise subscription, and the number you can create depends on your plan. That's as of October 2026, per HubSpot's calculation property guide.

Why a calculation or rollup property shows the wrong value

One of the inputs is empty

A formula like Amount minus Cost works on records where both are filled and goes blank on every record where one is missing. HubSpot's fix is to wrap each number input in if and is_known, so an empty value counts as 0. For example, use if(is_known([properties.cost]), [properties.cost], 0) in place of the plain cost property.

The rollup is reading a different set of records

A rollup only sees records that are associated with the one you're looking at. Check the associations on the record first. Then check the rollup's settings. If association labels are selected, only records with those labels count. Conditions narrow it further, and a rollup can have up to 50 of them. A Count rollup counts associated records that have a value in the chosen property, so records with that property empty aren't counted. Emails can't be a rollup source at all. If contacts aren't linked to their companies, a company rollup can't see them, which is covered in contacts not associated with companies.

The number is in milliseconds, or in someone else's time zone

HubSpot stores raw duration values in milliseconds, including Time between and Average. When you use one of these in a filter or another formula, you may need to enter the value in milliseconds, so check the unit before you type a threshold. Dates without a time count from midnight UTC. Date and time values display in each user's own time zone, so two people can see a different value on the same record. The Exclude weekends option on Time between uses the account's time zone.

Dropdown values don't match the formula

In an equation, dropdown and radio values are treated as text in double quotes, and they must use the option's internal name. The label people see won't match. A formula that checks for "Appointment scheduled" won't match a stage stored as appointmentscheduled. The same applies to the options of an enumeration output, which must match the values your expression returns.

Currency isn't converted

Choosing the record's currency for a calculation or rollup only changes how the number is displayed. No exchange rate is applied. To convert in a custom equation, add the exchange_rate or dated_exchange_rate function to the formula. Rollups don't have a formula, so this doesn't work for them. HubSpot's guide doesn't say how a Sum rollup of Amount handles mixed currencies. Amount is stored in each deal's own currency, so if your deals use more than one, check a few rollup totals by hand.

The input type isn't supported

Time since and Time until properties can't be used as inputs to other calculation or rollup properties, or as filters in the custom report builder. Custom equations can only use properties of the same object, and Time between only works with two dates on the same object. To use a value from associated records, roll it up first and then use the rollup in your equation. HubSpot's own deal discount example does exactly that.

It was created through the API

Calculation properties created through the properties API can't be edited in HubSpot, only through the API, according to HubSpot's properties API guide. If the edit options look locked, ask whoever built the integration.

How to fix a calculation or rollup property

  1. Pick two records, one with the right value and one with the wrong value, and compare every input on both.
  2. Open the property. For a custom equation, click Test formula to preview the output, and fix anything listed under the issues link above the editor.
  3. Wrap number inputs that can be empty in if and is_known.
  4. For a rollup, confirm the associations exist and that the labels and conditions aren't filtering out the records you need.
  5. Convert units in the formula if you need hours or days. HubSpot's fixed time example divides the millisecond value down to days and wraps it in round_nearest.
  6. Replace any dropdown labels in the formula with the options' internal names.
  7. If the field type itself is wrong, create a new property. You can't change an existing property into a calculation property, or a calculation property into another type. Cloning an existing calculation property copies its formula as a starting point. Then update the segments, reports and workflows that used the old one.

How to stop it happening again

Put the unit in the property name and description, for example "Days to close", which HubSpot also recommends for time calculations. Decide up front how each formula should treat empty inputs. Keep one test record with known values for each important calculation, and check it after anyone edits the formula. If the property feeds a deal amount or revenue report, check the currency setting at the same time. The HubSpot audit checklist includes a data quality pass alongside workflows and reports.

If you have a handful of formulas that people have stopped trusting, I can audit and fix them.

Questions

Why does my time calculation show a huge number?

HubSpot stores durations in milliseconds. Where the raw value shows, such as a custom equation with a plain number format, divide it down in the formula or choose the Duration number format.

Can a calculation property use values from associated records?

Not directly. Custom equations only use the same object's properties. Create a rollup property for the associated value first, then reference that rollup in the equation.

Can I change an existing property into a calculation property?

No. HubSpot doesn't allow switching a property to or from the Calculation field type. Create a new property, or clone an existing calculation property and edit its formula.
